Glossary Item Box

Since the latest version 8537, the developments have not stood still. In the version 8703, available since 2017, a large amount of big and small adjustments have been made, which means for many WinTree users working in WinTree is made easier.

 

Making a system copy of WinTree has been completely renewed: More certainty will take more space!

Securing data is extremely important and thanks to these changes a complete system copy of WinTree can be made with more certainty, resulting in that in case of calamities the databases can be set back until a certain hour.

 

This change has important effects to take into account:

 

Because a complete copy is made now with which WinTree can be completely restored, the system copy will require more space. It differs per situation, but account for 50%-100% more required space and check because of this if the storage medium (Tape, NAS, Online Backup or other storage medium) has enough space available.

 

Existing system copy events that were set up, have to be set up again. It is because of this important that the administrator must execute changes in the back-up.

 

It is important that these effects are discussed with the hardware supplier/system manager so possible measures can be taken.

Another big change is the improvements to the communication-tool Treecommerce Messenger. But also time has been spent to improve the speed and functionality of WinTree. Adjustments are not always 'visible' but certainly improve the functioning of WinTree. 

 

In the overview below the most important, useful, most eye-catching issues that became available in this version. This list is not a complete list. When working in WinTree also other new fields and functions can be noticed. When not sure about the functioning then the support department of TSD is always available to answer your questions. An e-mail with a clear description, preferably with print screens, to support@tsd.nl is enough.

 

The numbers in the title in the overview below concern an internal reference number. Please always mention this number in the questions about the issue . ShowManaging related articles for web shop

In web shops, connected to WinTree, it can in some cases be preferred to help the customer in making the right decision. Next to this, you want to sell as much as possible by pointing the customer at the other products. For example when a customer buys a Boxwood, you also want them to buy the related compost and secateurs. The management of these related articles can now also be done completely within WinTree and getting the information via special web services into your web shop.

ShowUse trade prices also for Including VAT customers (B)

Stock lists can now be set up to be used as trade prices. These lists can now be connected to VAT-inclusive customers (private sales). Also during the processing of the sales orders of those customers using scanners, the prices for the scanned articles will be gotten from the connected stock list.

ShowStock list: determining the sorting for exporting (B)

With the help of parameter 2400, it is possible to determine the sorting of a quotation when it is made on the basis of a stock list. When you have a value for the parameter, then during exporting the stock list into a quotation, the quotation will be sorted by input, regardless of the settings of the contact and the lines from the stock list will be put based on the value into the quotation.

NOTE: this sorting can be different from the sorting in the stock list.

ShowStock list: option to export the imported amount (B)

This new feature offers the possibility to import orders of customers and to easily and quickly make quotations or sales orders of them. This function has to be activated by TSD via parameter 2404.

After making the stock list, it is possible to, same as in the quotation menu, enter an ordered amount per line and then to export this amount to a quotation or sales order. After refreshing or making a stock list , in this extra column 'to order' 0-values will show. The extra column is on the right side but can be moved to the left via the overview. The WinTree user can enter the ordered amounts into these columns and via exporting to quotation or sales order putting it into a quotation or sales order. Only the lines which have an amount in the 'to order' column will be exported. When during the export, the option 'only selected lines' is used then only those selected lines will be exported. By activating this parameter, it is no longer possible to export the whole list to a quotation or sales order without extra steps in between. Put an amount in the column 'to order' for every line for you to export the complete list. After exporting, the entered amounts will always be removed directly and a new order can then be entered.

With the help of parameter 2391 (value=1) it is possible to take over batch numbers as a preferred batch in the quotation- or sales order line. Based on this batch number it is possible to, during the transformation from quotation to sales order, sort it by the correct batch or when sorting from the sales order lines the correct batch to be selected as preferred. When you are using the preferred batch option then the list must NOT be totalised, so an overview of the individual batches. If the list is entered as totalised this option will not work.

Please see issue 19451 to influence the sorting of your lines in the quotation and the sales order with the help of parameter 2400.

ShowImporting Stock: also executing updates

TSD can set parameter 2440, which makes it possible to both import new articles from an Excel file and change existing files. This was already possible for the base price and the EAN-barcode, but can now be done with every field that can be imported. In case that the plant name and size combination is already in WinTree, the existing data will be overwritten with the data from the Excel file. In case that the article does not yet exist, it will be added. With the same Excel file it is possible to both add new articles and change existing articles.

ShowStock enquiry tablet, expanding with the processing of cutting

With the help of the module 'Stock enquiry for tablet' it is now possible to count the amount of trays and amount per tray. During the calculation of the stock, you can change both the amount of trays and amount per tray. The amount of trays can be changed with the [+] and [-] buttons. The amounts per tray need to be changed manually on the tablet.

When a counted set is sent back to WinTree Nursery Manager, the stock batches, including the amount of trays and amount per tray, will be processed. During the processing of the set into the Nursery Manager, only the total amount of plants is visible. The amount of trays and amount per tray are not visible here.

NOTE: on this tablet module 88, Cutting module has to be active.

ShowQuotations

ShowBatch number exported as preferred batch to sales order lines

Out of the stock list, you can export lines to a quotation or a sales order. In case that the list is classified as 'not totalised' then the stock batches will be placed in the stock list. If the customer places an order based on this stock list, then it is possible to take the batch number when booking the line (see issue 19610) to a quotation or sales order. With the automatic sorting of a sales order line, then the correct batch will be sorted based on this stock list line. In the parameter 2391, you can state if the batch from the catalogue line needs to be added as a preferred batch in the quotation or sales order. If lines are first exported to a quotation then for the booking to a sales order the sorting setting has to be set to 'Yes'.

NOTE: Do NOT use 'Yes, selected batch' as the sorting will then not be done correctly.

ShowTransferring quotations: determining sorting

During the transferring of a quotation to a sales order, it is now possible to state in the renewed wizard in which sequence of lines the new sales order needs to be in. The selected option will be saved in the value of parameter 2354, allowing this preference to be selected again for the next transfer.

ShowTransferring quotations: putting it directly in Deliveries

The wizard that is used to transfer quotations to sales orders has been completely renewed. Next to that it is possible to directly put a quotation in a sales order, it is now also possible to make the sales order directly into a delivery. It is even possible to report the delivery as 'Ready' and make the invoice. Next to this, in different steps of the process you can now print the documents and labels. When the module Packing is used then the packing can also be directly added.

ShowDelivering sales orders: improving speed (B)

For improving the speed of working, we are always working on adjusting existing procedures. In this version, the menu 'Deliver Sales orders' has been changed, mainly in the part of the process in which the lay outs are made. The total processing time is halved because of this.

With the renewed [Direct]-button it is now possible to deliver a sales order directly to the auction, with which the correct files will be made in Ant-Eater.

ShowPacking in sales orders to deliveries.

During the booking of sales orders, it is now possible to book 'Packing' (with amounts and prices). With the help of parameter 2415 it is now possible to set up if this packing needs to be taken one by one towards the delivery, in case of the Direct wizard being in use. As a default, the booked packing will need be taken into account for the delivery but can be added manually through the Direct wizard. With the value 1 for the parameter. The booked packing from the sales order will be used for the delivery. This packing cannot be changed in the Direct wizard. Is it necessary to change the amount or the price then this cannot be done with the Direct wizard but has to be done, after making the delivery, in the delivery itself.

ShowDeliveries

ShowMaking invoices directly from deliveries (B)

With the help of [Direct], you can now put the sales order into a delivery when in that sales order. In the wizard, the choice can be made to directly make an invoice of the delivery. The same wizard is used for the booking of quotations to sales orders. With which you can also directly make the delivery and the invoice.


It is now also possible to directly report opened deliveries as ready and to invoice them. For this, the button [Invoices] is available in the menu Sales -> Deliveries. This button will open up a separate pop-up screen in which you can enter an amount of data. After this, the delivery will be reported as ready and the invoice will show up in the normal invoice menu, in which it can be handled further.

ShowLoading date delivery also available without planning (B).

In the menu Sales -> Deliveries is on the tab page "Delivery info" now also a Loading date available. This loading date can be used to make deliveries visible on the basis of this date in the separate menu 'Planning Overview'. This makes it more clear when the plants need to be ready to be loaded. The delivery date indicates when the customer can expect the plants to be delivered.

ShowBarcode control program for batchscanner

To help order pickers to pick the correct batches, a new program for the batch scanner MT2070 has been developed. This program is nothing else than comparing two barcodes with each other. If these barcodes are the same, a 'friendly' sound will play. When these barcodes are not the same, it will be made clear by a less 'friendly' sound.
Required for the use of this program is that all stock batches have a batch barcode and that the labels have the batch barcode on which they were sorted.

ShowInvoices

ShowMaking invoices in the sequence of the sorting of the selection in the Deliveries -screen

In the invoices menu (Sales -> To invoice -> Invoices) the sequence of newly made invoices is based on the sequence in which the customers with deliveries that are reported as ready are shown in the selection screen. If this sequence is changed (and saved) by the WinTree user then this will also change the sequence of the invoices.

ShowPayment conditions: amounts in invoice text now including supplements

The invoice text that belongs to certain payment conditions, able to be entered in the menu File -> Basic information -> Other -> Payment conditions, can now be provided with the @-codes for example to show the discount percentage or amount. Until now, for calculating the discount amount, the use of supplements was not taken into account. This has now be adjusted for the used @-codes for the amounts to use the prices including the supplements. Because of this, the correct discount amounts will be printed on the invoice.

ShowPurchase

ShowPCP as the basis (parameter 1333): also without using sales margin

within WinTree there are multiple options to determine the sales price of a sold plant. One of the options is on basis of the PCP of a selected stock batch. This PCP can serve as the starting value of the sales order line to then add the supplements on top of it to reach the final price. This pricing method can be activated with the help of parameter 1333. When this parameter has been set to value 4, then it is no longer necessary to enter a sales margin. With this value, the PCP of the selected batch will be used as the starting value and the supplements will always be added on top.


NOTE: changing this parameter can have serious consequences for the pricing methods in WinTree. Please always discuss with TSD before changing this parameter.

ShowSupplier offers: determining price tabeling for amounts

With the help of parameter 2449 ( to be set up by TSD) and module 64, Price tabeling it becomes possible to make stock lists that uses the set up price tabeling of the articles. Next to the available option to give an amount per price, now you can also use the price type 'price tabeling' when making a stock list. When this price type has been used, all other price types will go away. The stock list will then be made and per line the amounts and prices on the basis of the price tabeling, that is connected to the article, are shown as columns in the stock list. Per price table 2 columns will be shown; one with the price of the table and the other for which amount that table is valid. In total, a maximum of 6 prices and amounts will be shown per line.

 

NOTE: the column Price tabeling and Minimal order quantity are connected to each other but can be moved separately from each other in the overview. Please be careful with changing the overview to keep the correct information together.

This stock list can then be exported to Excel in which the 6 price table prices and columns with amounts are also exported. The stock list can also be send by Treecommerce Messenger, in which for every line the price tabeling information is taken into account. The receiver of the TCM-message can store this, when using the correct module structure and WinTree version, in the fictive stock. A stock list with multiple price tables can with the help of Document 210, Catalogue/ Wish list with all price information (Landscape) be printed. On this list no minimum order quantities are mentioned. In the case that a document with the minimum order quantity is needed, export the stock list to Excel and print that file. The export to VARB is not yet provided with the extra price tables prices and amounts (the import of VARB cannot handle this). Also connections to other programs are unchanged.

When the WinTree-user has the module 86, Trade Function II then it is possible to manually import the 6 price tabeling prices and amounts per supplier offer line (= fictive stock). The fictive stock has to be entered with the help of the order entry screen. In this order entry menu it is possible to, after entering the Latin name, size, amount and price, add the amount of price tables for a batch in the tab page 'Price tables'. The first price table that is added, gets the price that was entered in the Price each. In general, this comes down to price per article, so then fill in a 1 as the amount for the price table. Add extra price tables with prices and amounts. When on the basis of this fictive stock a purchase order line is made, then the cost price of the purchase order line will be based on the entered price table price and amount. If a purchase order line with the same article and same supplier is booked but the fictive stock is not being used as the basis, then no price tabeling will take place.
In case the functionality is available in WinTree to import fictive stock via an import profile (module 116) then you can import stock lists with a maximum of 6 price table prices and amounts. The import profile is expanded for this. After importing the fictive stock batches, the price tabeling can still be changed per batch. With Treecommerce Messenger, stock lists with different price table prices can be imported. The receiver of the TCM-message has to have the module 64, Price Tabeling, the parameter has to be set correctly and the correct version must be installed.

NOTE: in case the price calculation in WinTree is based on the cost price/ PCP of a batch then the default price of a stock batch will be used. The price table prices will exclusively be used for determining the price of new purchase order lines, so not for calculating the price for sales order lines.

ShowScanning incoming and outgoing goods, transferring delivery lines to new delivery

By setting up parameter 2406 (to be done by TSD), it is now possible to directly change the batch phase of a purchase order line in the line itself. This can make changing the phase per line fast. Next to this, the phase of multiple lines can now be changed at once. Change for at least 1 line the phase. Then select all lines for which the phase has to change. Place the cursor in the column 'batch phase' and right-click. A pop-up will show with the current values from the column. Click on the value that all lines need to have and then all selected lines will get the selected batch phase.

ShowGoods inwards in combination with keyboard scanner, printing of labels and report

For WinTree there is already for a longer time a function with the help of a keyboard scanner to receive called-up plants (light version for checking incoming goods). This function has now be expanded with the option to directly, after scanning the received lines, print document 46; goods inwards and the stock labels. The printing function has to be activated by TSD with the help of parameter 2399.

Document 46 and the stock labels will only be printed when in Settings -> tab page Lists these documents are checked for Show and Select.

ShowContacts

ShowContacts: field Chamber of Commerce number added (B).

On the tab page Communication in Maintain Contacts it is now possible to add the registered company number. In the database, there is a field in the table 'Contacts' with as their full name 'chamberofcommerce '. This field can be at maximum 25 characters to allow foreign WinTree users as well. This field will be printed on the following standard Fastreports: 4, 8, 44, 45, 48 and 319. This number will also be put from WinTree Financial into the audit files.

ShowEntering contact person: default title selected (B)

Until now you always had to fill in the first name, family name and title for a new contact person. Now adding a new contact person results in the first name being filled with space bars as the default and the first title from the basic information being selected. This means that only the family name has to be added which remains required. The spaces in the first name can still be changed into the correct name. Same applies to the title.

ShowSending a document to multiple e-mail addresses (B)

In the menu Contacts -> Maintain Contacts it is now possible to indicate in the tab page Communication per document if for an e-mail a CC or BCC has to be added. This makes it possible to directly send your invoices to the bookkeeper who can add it to the Nursery Manager. Per document contact persons with a saved e-mail address (from the tab page Contacts) can be checked. A contact person can be selected by either the CC or the BCC.

Next to this, in empty fields 1 or multiple, separated by the semi-colon (;), extra e-mail addresses can be added. It is required that the output preference of the document has been set to 'e-mail' or the output preference of the contact to 'e-mail'. The document itself has to be put in 'Standard' mode.

ShowGeneral

ShowTranslations for the purpose of expanding web shops / web services.

With the use of the module Foreign Trade (which offers the possibility to enter own translations into WinTree), it is now possible to translate the descriptions of article groups and Stock lists. In case that Module 70: Trade Units is in use, it is now possible to translate the descriptions of these units as well. These translations can only be used when WinTree, with the help of web services, is connected to a web shop.
NOTE: the current web services will have to be adjusted to get these translated descriptions in both the web services and the web shop. Please contact TSD when changes need to be made to the existing web services.

ShowSaving parameters in relation to performance (B).

With help of parameter 2314 it is possible to improve the speed of WinTree when using it within a network. By setting the value 1 for this parameter, 'caching' comes into play. This means that every parameter during the start of WinTree is saved at the local user. Starting up WinTree will take a little bit longer but working in WinTree itself will be faster.

A new option has been added to WinTree to be able to use a trademark instead of individual headers and footers. For using this trademark correctly, an extended manual is available on the manual web site in the General chapter.

ShowRoles: setting up multiple menus (B).

When the administrator of WinTree activates the Setting modus (in the menu 'Extra') then in the menu Windows the option "Authorisation' becomes visible. On top of this, in the toolbar the icon with a key shows up.


When you open up a screen, you can click this icon to decide if this screen needs to authorised. If applicable, then per role the access to the screen can be decided. If necessary, differing settings can be made per employee for allowing access to the screen. Afterwards it is important to turn off the 'setting modus' by clicking on the mode again.

ShowFont changed (B).

The font that we use in WinTree (in the menus on the screen) has been changed to a Truetype-font. This allows the text, with the help of scaling in Windows, to remain easily readable even if the size of the screen has been increased or decreased. This font looks differently than in previous versions.

ShowTransports: Loading info changeable.

When you are planning the routes, the loading info can now be entered per route. The entered loading info can now also be copied to all Deliveries or Call-ups that are part of the route. This, for example, opens up the possibility to afterwards look at which loading info had been entered for a specific route from the delivery.

ShowPlanning Menu: Showing Deliveries on the basis of Loading date.

It is now possible to insert the loading date (see issue 18715) into Deliveries. When making use of the module Planning Overview, it is possible to view the Deliveries based on the loading date. This setting has to be activated by TSD.

ShowNotification "No data available for chosen selection" turning off for documents (B).

Documents with the setting "Reprint recently printed lines" checked, get a notification when there is no data available for a chosen print selection. These pop-up notifications forces you to click it away before being able to continue working. These 'No data available for chosen selection' notifications can now be blocked per document by TSD. This can be useful when for example you are working with multiple lifting lists with different printing selections on locations. When printing these documents it can be that the notification 'No data available for chosen selection' will pop up multiple times and must also be clicked away multiple times. This can be avoided with this new setting. If there is no data available to print then no notification will be shown and the user can continue its work.

ShowTreecommerce Messenger

ShowIncluding selections in the basis of WinTree

With the use of Treecommerce Messenger (Module 136) it is possible to manually save selections via File -> Basic information -> Other -> Selections. A saved selection can be used to collectively send a stock list to a group of TCM-users. Selections can also be used to send, for example, a stock list to a group of contacts by e-mail.

ShowChanging TCM-draft lines afterwards

After automatically importing the supply, imported by the Treecommerce Messenger system(see issue 18988), you can now manually match the not yet matched supply lines. For this, is in the menu Purchase -> Supplier offers -> Maintenance via the button [Options] an extra choice 'Draft lines Treecommerce Messenger' available. Use this option to open a menu in which the draft lines can be matched.

ShowAutomatically process supply messages

Supply that was received through Treecommerce Messenger, can now be completely automatically processed by WinTree. Per supplier, this has to be set in the Suppliers Information by checking the checkbox 'Automatically processing TCM supply'. This checkbox can be found in the tab page 'Suppliers information' in the menu Maintain Contacts. When this checkbox has been checked, the next TCM supply message will be processed automatically. For this to work, it is required that for this supplier a previous TCM supply message has been manually processed.
The processing is done by an event that is called up every 10 seconds. This event will run in the background. Supply lines that cannot be matched, will stay in purchase_draft. These draft lines can be called up from the menu Purchase-> Purchase offers -> Options -> Draft lines Treecommerce Messenger and can then be judged, matched and processed. To see the draft lines, first a supplier has to be selected for which the TCM supply has been entered.

ShowTaking into account recently printed purchase order lines

During sending the purchase order via the TCM system, it is now possible to set up if the recently send lines have to be sent again or not. Give parameter 2374 the value 1 if only new, not yet send lines have to be sent. The decision for sending the lines or not is comparable with the decision for printing the lines again or not. Has a line already be sent and the amount will be changed then the line will not be sent again. Do not increase the lines, but make a new line to get this purchase offer via TCM at the nursery.

ShowCash and Carry

ShowScanning shortages, Cash & Carry, imorting scanned articles in purchase order

With the help of the C&C screen, it is now possible to make new purchase orders for suppliers. This can for example be used to purchase certain articles from suppliers that are on the C&C. For the processing of an imported scan file a button has to be set up with the function 53- Saved as Purchase order. This button can then be set up via the characteristics of an empty button.


The scanning and importing of the order goes the same way as the scanning and importing of a normal sale. The click on the button. In the pop-up a supplier has to be selected first and then the choice can be made to make a new purchase order or use an existing one for the order. Then click on [OK] and the scanned lines will be placed in the purchase order. The purchase will be opened and can be processed as normal. The scanned lines will directly be removed from the C&C menu and the menu will be prepared for the import of a new sales order for a default scan-customer.

ShowOffice Manager

ShowImproving the agenda item for the follow up of a quotation

The following function can only be used when next to the module Quotations for Nursery Manager also WinTree Office Manager with the module Activities has been activated.
In the settings of the quotations menu (right-click -> Properties), you can now select a standard contract type (value will be saved in the parameter 2339). After setting up this property, the quotation screen needs to reopened.  After selecting an existing quotation or making a new quotation, with the help of [Contact ...], a new agenda item can be made for the follow up on the quotation. It is no longer necessary to print the quotation to get the pop-up for the agenda item on screen. Please be careful in the case that the setting for making an agenda item when printing is also still active, that there is no control to check if there was already an agenda item manually made. It will just add an extra item to the agenda.

ShowOpening a PDF in the agenda from the electronic archive

When WinTree Nursery Manager with the module Quotations is in use in combination with WinTree Office Manager, it is already longer possible when printing a quotation ( see also explanation at issue 18745) to make an agenda item for the follow up of the quotation. If for printing (or sending per e-mail or fax) the report generator FastReport in combination with archiving function of FastReport is used, then it is possible to view the archived quotation as a PDF in the agenda item. An extra button in the agenda is now available to open it as a PDF.

ShowNavigator -> button Archive: column with sales order number

When you are also archiving your quotations and sales orders in the WinTree Office Manager, you can now easily open the quotations and sales orders through this archive.
